Conversion of TxDOT Email from GroupWise to Microsoft Outlook

Situation

For years, TxDOT relied upon GroupWise for its email functions. However, the program cost nearly $2.6 million per year, most of which consisted of data center service costs, and it did not offer optimal email or calendar capabilities.

Solution

As part of its commitment to modernizing its processes and resources, TxDOT sought out a more cost-effective email service provider that would meet operational needs and offer cloud-based storage solutions. By acquiring services with Microsoft, TxDOT not only eliminated data center costs, but was able to bundle pricing in order to procure the full suite of Office 365. This includes not only Outlook Exchange Online email, but also SharePoint, a document storage and collaboration application, and Lync, a web-conferencing application. These assets are poised to significantly improve the efficiency and effectiveness of TxDOT's business environment.

Cost Savings

With the transition to Outlook complete and the resulting reduction of its data center footprint, TxDOT will realize a cost savings of more than $2 million annually. Outlook’s business-friendly, flexible email environment, joined with the substantial capabilities of the bundled offerings, will enhance TxDOT employees' ability meet the state’s toughest transportation challenges.
